Introduction
This document contains a list of the new features and modifications included in this update to GEMS. Features are grouped according to the jurisdiction they apply to.
Please note that references to the GEMS Help Center may be made throughout these notes. You can access the GEMS Help Center via the Information Center icon from the GEMS 12 Home Hub. Please also note that references to Tutorials and How-to Guides may be made throughout. To access these files, you must be registered and logged in to our Community Support website. Activities and Compliance Tracker
Update: Filter Options
Additional Compliance Tracker Filter Options Begins With and Does Not Contain have been added to the Compliance Tracker Filters to assist users when narrowing down the number of records returned. These options are available on all views.
Update: Jurisdiction Column Available on To-Do List
Jurisdiction information is now displayed within the To-Do List, allowing users to be able to view and filter To-Do Items based on the Jurisdiction of the Entities linked to an Activity Record. This functionality previously only existed on the Activity Overview and has now been extended to the To-Do List.
GEMS Login Page
Update: Service Provider Initiated Login
GEMS Login Page now offers Service Provider initiated Login as a configurable option, enabling Users to access GEMS without the need to enter credentials.β GEMS Administrators interested in configuring this feature should reach out to their Support Representative.
Charting
Update: GEMS Charting (Legacy) tool retired
To better support clients with charting needs, the GEMS Charting (Legacy) tool has been retired. All charts in GEMS will now be created using the latest charting tool, formerly known as GEMS Charting (Preview).
New: Chart Reports
A new Chart Reports tile has been added to the Create a Chart page. Selecting this tile allows users to create either a Comparison report or a Tiered report.
The Comparison Report interface allows users to compare two projects and view changes in data between one date and another, including added, removed, and new entities.
The Tiered report displays chart data in a hierarchical or tiered structure granting users more options in displaying ownership data, showing parent down though all subsidiaries. If an Entity has more than one parent, each parent and its related data are shown on a separate line to improve visibility and filtering, with the Business Entity repeated in Column A.
Both the Comparison Report and the Tiered Report are delivered in Excel format.
New: Launch Template/Manage Templates Tile
Users can now quickly access and, if Charting Tool Edit Users, manage chart templates through a new Launch Template/Manage Templates tile on the Charting Hub.
New: Automatic Sub-Charting
Creating Sub Charts manually can be time consuming, but GEMS Charting Edit Users now have a way of quickly and easily breaking a Chart down so that Sub Charts are automatically created based on a minimum number of subsidiaries per parent entered.
Update: More Text Size Options within Boxes
It is now possible to increase the text size of Box Data and Box Titles to be greater than 16. Four additional options have been added to Title Text Size and Data Text Size: 18, 20, 22, and 24.
In addition to the formatting options available, users are now able to auto size the boxes within a chart.
Update: Hiding Field Labels within Boxes
Users can now decide whether show data inside a box without the label when creating a custom formatting rule. For example, if Show Without Label was selected for the Jurisdiction field, Jurisdiction: Delaware would become just Delaware.
Update: Footnote Formatting
To provide for cleaner footnote formatting, users now have the option to see footnoted fields with multiple values as a list (with each value on a new line) or as a semi-colon separated string (as per current functionality) when making a custom formatting rule.
New: Booklet Indexes
After exporting a chart as a booklet, a list of each Entity in alphabetical order alongside the page numbers associated with each Entity is now available to help users quickly navigate around the chart booklet.
Reporting Module
Update: Saved Audit Trail Searches now available for use in Reporting Module
Users now can now tag new and existing saved Audit Trail Searches as Available in Reporting, allowing them to more quickly make advanced reports using their Audit Trail data.
Add Entity Wizard
Update: Warning Message for Potential Duplicates Made Clearer
When creating an entity via the Add Entity Wizard, if a name is given to the new entity that matches an existing entity, GEMS will now display a message that clearly identifies the type of entity that already has the name, enabling users to more precisely determine if this new entity is an accidental duplicate.
SuperAdmin
Update: Additional Templates
Users can access additional templates using the GEMS SuperAdmin platform:
Entity DBA Import - This template can be used to upload Doing Business As (DBA) data to a company record in GEMS. All data elements (company, jurisdiction, county, pursuant to, principal address) must already exist in GEMS.
Custom Screens update - This template can be used to add, edit, or delete custom fields data on the selected custom screen in GEMS. Entities and custom fields must already exist in GEMS.
Company Address update - This template can be used to add, edit, or delete company addresses.
