Update an Entity's Status

A guide to changing the Status field value of a Business Entity/Company, Person, or Non-Affiliate

Introduction

The Status field for any GEMS entity can be updated at any point from the entity records by Edit Users.

If you are updating the Status of a Business Entity/Company because it is no longer active, use the Cessation of Entity Wizard instead of following this guide.

Update the Status of a Business Entity/Company

The Status field of a Business Entity/Company can be found on and updated from the entity's Basics Screen.

2. Click View More Details to open the Navigation Menu, then select Basics.

3. Click Edit.

4. Locate the Status field and update the value as desired.

5. Click Save. A subsequent page opens with additional prompts regarding the update.

6. If you wish to keep the historical record of when the previous Status value was in effect, tick the Keep historical record checkbox and enter the date that the new Status value took effect.

If you are updating the Status field because the previous value was an error, do not tick the Keep historical record checkbox and leave the date value as it is.

Regardless of whether you've updated the fields on this page or left them as they are, click OK.

Update the Status of a Person

The Status field of a Person entity can be found on and updated from the entity's Basics Screen.

2. Click View More Details to open the Navigation Menu, then select Basics.

3. Click Edit.

4. Locate the Status field and update the value as desired.

5. Click Save. A subsequent page opens with additional prompts regarding the update.

6. If you wish to keep the historical record of when the previous Status value was in effect, tick the Keep historical record checkbox and enter the date that the new Status value took effect.

If you are updating the Status field because the previous value was an error, do not tick the Keep historical record checkbox and leave the date value as it is.

Click OK.

Update the Status of a Non-Affiliate

The Status field of a Non-Affiliate can be found on and updated from the entity's Basics Screen.

1. Locate and open the Search Hub.

2. Select Non-Affiliate in the Search GEMS for dropdown.

3. Enter the name of the Non-Affiliate to be updated in the Value field, then click Search.

4. Select the Non-Affiliate from the search results.

5. Click View More Details to open the Navigation Menu, then select Basics.

6. Click Edit.

7. Locate the Status field and update the value as desired.

8. Click Save. A subsequent page opens with additional prompts regarding the update.

9. If you wish to keep the historical record of when the previous Status value was in effect, tick the Keep historical record checkbox and enter the date that the new Status value took effect.

If you are updating the Status field because the previous value was an error, do not tick the Keep historical record checkbox and leave the date value as it is.

Click OK.
