Release Notes 12.1

New and updated features from the GEMS 12.1 release

Introduction

This document contains a list of the new features and modifications included in this update to GEMS. Features are grouped according to the jurisdiction they apply to.

Please note that references to the GEMS Help Center may be made throughout these notes. You can access the GEMS Help Center via the Information Center icon from the GEMS 12.1 Home Hub.

Update: Charting Edit Mode Set To "ON" by Default for Charting Tool Edit Users

The default state of Edit Mode when a Chart is opened by Charting Tool Edit Users is now set to True/On, enabling Charting Tool Edit Users to more quickly interact with and amend their charts. Charting Tool Edit Users can still toggle Edit Mode on and off by clicking the icon.

Update: Charting - Booklet Index Includes DBA and Jurisdiction

To help users to better navigate, search, and distinguish entities in a Chart Booklet Index, Booklet Indexes can now be generated using either the Business Entity/Company Name, Jurisdiction, or Trade Name/DBA fields.

Update: Charting - Sub-Charts Grouped by Level

Sub-Charts are now grouped by level and then sorted alphabetically.

The Sub-Chart level is displayed to the left of the Sub-Chart name.

Update: SuperAdmin - Grid-Based Editing

Grid-Based Editing (GBE) has been added to the SuperAdmin utility.

  • SuperAdmin templates can now be loaded on screen.

  • Data validation issues can now be addressed, fixed, and re-validated on screen without leaving SuperAdmin.

  • Required fields are highlighted on-screen.

  • Lookup List values are now viewable in a dropdown selection, reducing validation errors.

  • Date selection via a calendar icon has been added to avoid date format issues and inconsistencies.

  • Filters can now be applied to columns.

  • Columns can now be deleted if needed.

  • Clients can turn GBE on or off from within SuperAdmin.

New: Add Multiple Activities Wizard

The Add Multiple Activities Wizard allows users to create multiple Activities and assign them to multiple entities.

The Add Multiple Activities Wizard can be launched from the Quick Add button or from a Wizards Search.

New: Order ID in Activity Title

For Activities created from Orders, the Order ID will now show in the Activity Title.

Additionally, the Order ID field is now available in Activity Searches, Dashboards, and the Reporting Module.

New: Activity Documents – Show Date Uploaded

When a new Document is uploaded to an Activity, the date of upload will be shown in the Date Uploaded Column in the Documents section within the Activity.

Note: For existing GEMS Documents, the date shown will be the date it was attached to the Activity, and not the date it was originally uploaded to GEMS.

New: Delete Document from Activities

Documents can now be deleted from the Documents section of an Activity. If a user does not have permission to delete a particular Document, the Delete option will not be visible.

The options Edit Document Details and Change Status have also been added.

New: Delete Notes from Activities and To-Do Items

It is now possible for Administrators and Edit Users to delete Notes associated with Activities or To-Do items using the new ACTIONS column.

New: Delete Document from Order Form

Users will now be able to delete Documents from an Order form directly.

  • If the user uploaded a new Document, it will be deleted from the Order and from GEMS.

  • If the user attached an existing GEMS Document, it will only be deleted from the Order, not from GEMS.

New: Delete Notes from Orders

Notes can now be deleted from Orders.

  • Anyone can delete a Note that they have added.

  • Administrators with access to the Orders can also delete other people’s Notes. If you don’t have permission to delete a Note, the Delete icon will not be visible.

Update: Orders - Automatic Approval for Orders Where the Requestor Is the Approver

If an Order Requestor is also an Approver, the order will be automatically approved for that user.

  • In the case of a single level/single group Approval Workflow, this will mean that the Order will go straight to the status of Requested.

  • In the case of multi-level Approvals, or where more than one group must approve, the Order will only be approved for the Requestor's level, and other users will still need to approve the Order.

Update: Set a To-Do Item Due Date to be AFTER the Activity Due Date in Activity Workflows

It will now be possible to set a To-Do Item Due Date before OR after the Activity Due Date from within the Activity Workflow.

Update: Show the Latest Query When Responding

When responding to a Query in an Activity or within a Health Check, the response

screen will now display the previous Query text.

Up to 400 characters of the original Query will show automatically. If the Query has more than 400 characters, clicking View All will display the rest of the Query.

New: Companies House Comparison

Clients can now compare Companies House and GEMS data, helping to identify inconsistencies, gaps, errors, and mismatches, leading to improved data integrity.

The launch point Live Companies House Data Compare can be found on the Company Snapshot Menu beneath the Confirmation Statement option.

New: Companies House ID – Unique Identification Code

The Economic Crime & Corporate Transparency Act [UK] calls for Directors, Presenters, and PSCs to verify their identity with Companies House.

Completion of the verification process will result in a new Unique Identification Code being generated: Companies House ID.

Users can now add their Companies House ID within the Privileged Information section in GEMS.
