A guide to the Add Multiple Activities Wizard

Introduction

If you need to add several different Activities of the same Activity Type at once, use the Add Multiple Activities Wizard found under the Quick Add button.

The Add Multiple Activities Wizard lets you add several Activities of the same Activity Type simultaneously. Each Activity can be modified to have its own name, entity associations, owners, assignees, and due dates.

In the example below, we'll add several different Annual General Meeting Activities, each relating to a different entity and many of which will have different assignees and due dates.

1. Launch the Add Multiple Activities Wizard through the QUICK ADD button.

2. Read the introduction, then click START.

3. Enter the Activities' Activity Type or add the Activity Type if it has not yet been created. In our case, we'll enter Annual General Meeting.

4. Enter preliminary information in the Activity Title field and the various fields under Activity Basics. The information you enter here can all be modified for individual Activities on a subsequent page, so enter that information which will be shared by the most Activities.

In our example, the majority of our Activities will have an Activity Title of Annual General Meeting and a Due Date of June 01 2025, and the GEMS user who will be the Owner of the majority of them will be Jane Doe.

5. Click NEXT after entering all necessary information.

5. On the Choose Entities page, tick the checkboxes next to each entity you'd like to create an Activity for.

If you have a Saved Search that returns the relevant entities, you can select it in the Saved Search dropdown, but note that such a Saved Search must be created before beginning the Add Multiple Activities Wizard and it must be an Entity & Person Search.

In our example, we have four entities that need Annual General Meeting Activities created: ABC Golf Technologies, Applied Technologies, Inc., CGS Inc, and CPU Electronics Corp. We have also made an Entity & Person Saved Search called AGM Entities that returns just those four entities, so we've used that to filter the entity list, allowing us to select them quickly.

6. Click NEXT once the relevant entities have been selected.

7. On the Review and Edit Activities page, a list of Activities to be created and their preliminary properties as filled in in step 4 are displayed.

8. Double-click the Activity Title, Additional Entities, Due Date, Owners, or Assignees values for any individual Activity to modify that value for that particular Activity.

In our example, we'll change the Owner for one of the Activities, and the Due Date for one of the others.

9. Click SUBMIT to create the Activities.

10. You'll receive a notification once the Activities are all created, which you can review by clicking the Notifications icon available in the top right corner.

GEMS Administrators, note that the only Activity Types eligible to be used in the Add Multiple Activities Wizard are those that are either a) not connected to an Activity Workflow or b) connected to an Activity Workflow in which Manually from Quick Add is selected under the Activity Creation Options.
