Edit Data with SuperAdmin

Please note: In the video above, reference is made to Download a Template and Upload a Template tiles. As of GEMS 12.6, these tiles have been merged into a single Templates tile. All uploading and downloading of Templates can be done through the new Templates tile.

Access SuperAdmin

Once it is enabled for your account, SuperAdmin users can access SuperAdmin directly from the GEMS Admin Hub.

1. From the Hub Toolbar, select Admin> Other Modules> Bulk Update – SuperAdmin.

2. The SuperAdmin homepage opens. From here, select how to edit or add data using either Templates, GBE Upload, or Quick Edit. For more information on each of these tiles, see below.

Turn on GBE (Grid-Based Editing) and Quick Edit

SuperAdmin users may not initially see the GBE Upload or Quick Edit options. Turn them by following these steps:

1. From the SuperAdmin homepage, click the Profile icon and select Turn on GBE.

The SuperAdmin homepage will now include tiles for GBE Upload and Quick Edit.

Add or modify data by downloading and uploading a Template

Unless using Quick Edit, users will add and modify data in SuperAdmin by downloading, editing, and uploading a Template.

Download a Template

In this scenario, we'd like to add several new Business Entities to GEMS using the SuperAdmin Template Basic Business Entity Import. We first need to download that Template.

1. From the SuperAdmin homepage, click the Templates tile.

2. Locate the desired Template then click the Download icon to the right. The Template will be downloaded to your computer.

In this scenario, we'll locate Basic Business Entity Import and then click the Download icon.

The Template will be downloaded to your computer as a .xlsx file.

Edit a Template

In this scenario, we have downloaded the Template Basic Business Entity Import to our computer. We now need to edit it so that it contains the data we would like uploaded to GEMS, which in this scenario will be the details of three new Business Entities: Electric Co., Vellunar Dynamics, and Brindlegate Ventures.

Please note: Downloaded Templates may also be edited by uploading them through GBE Upload.

1. Open the Template you downloaded to your computer. In this scenario, we'll open the Basic Business Entity Import .xlsx file we have already downloaded.

2. Locate and select the Notes tab at the bottom of the Template.

3. Within the Notes tab, review which fields are required, what format the data must be entered in for each field, and any other instructions.

4. Return to the Sheet1 tab and enter your data. In this scenario, we'll enter data related to our three new Business Entities.

5. Save and close your Template after all data has been entered.

Upload a Template

Once you have downloaded and edited a Template, it must be uploaded back to SuperAdmin, at which point the data can be saved to GEMS.

Templates can be uploaded either through the Templates tile or the GBE Upload tile.

Please note: Both uploading processes have the same result in the end, but they differ in how users will correct any errors that SuperAdmin may find in the Template's data: the Templates process will ask users to correct errors within the original Template file itself, while the GBE Upload process will allow users to fix errors immediately within the SuperAdmin window.

Upload a Template through the Templates tile

In this scenario, we have already downloaded and edited a Basic Business Entity Import Template containing data on three new Business Entities. We now need to upload that Template to SuperAdmin and save the data to GEMS. One method is to use the SuperAdmin Templates tile.

1. From the SuperAdmin homepage, select Templates.

2. Locate the type of Template you downloaded earlier, then click the Upload icon to the right.

In this scenario, we'll locate Basic Business Entity Import and then click the Upload icon.

3. Locate and open the downloaded Template file from your computer. In this scenario, we'll open our Basic Business Entity Import file.

4. Click Confirm.

5. The Template data will be uploaded to SuperAdmin. Click Test to have SuperAdmin verify the data.

6. Click Save to save the data to your GEMS database.

Please note: If any errors were found, review them in SuperAdmin, then correct them in your original Template file and repeat steps 1 through 5.

Upload a Template through the GBE Upload tile

One method for uploading Templates to SuperAdmin to use the GBE Upload tile, which will allow us to immediately correct any errors in the data that SuperAdmin finds during the upload process. Note that you must have turned on GBE prior to using this method.

In this scenario, we have already downloaded and edited a Basic Business Entity Import Template containing data on three new Business Entities. We now need to upload that Template to SuperAdmin and save the data to GEMS.

1. From the SuperAdmin homepage, click the GBE Upload tile.

2. Select the type of Template you are uploading from the Select template: dropdown menu. In this scenario, we'll select Basic Business Entity Import.

3. Click Select file.

4. Open your saved Template file. In this scenario, we'll open our Basic Business Entity Import file.

5. Review and correct any cells with invalid data, highlighted in red. In this scenario, we'll note that one of our Entity Type cells contains an invalid value due to a misspelling.

We'll correct the invalid data by clicking on the cell and entering the correct value, Limited Liability Company.

6. After correcting all errors, click Validate.

7. SuperAdmin will display the number of records validated; click Save to add the validated data to your GEMS database.

Please note: If you have more than 30 rows of data, you may have to click Validate and Save several times until SuperAdmin has checked and saved each set of 30 rows.

Add or modify data with Quick Edit

The Quick Edit feature in SuperAdmin allows users to edit and save Templates directly within the SuperAdmin window itself. There is no need to download and upload a Template when using Quick Edit. Note that you must have turned on GBE prior to using Quick Edit.

In this scenario, we need to add four new Person entities to our GEMS database: Ethan Parker, Olivia Bennett, Lucas Reynolds, and Megan Foster. We can add all four of these Person entities using the SuperAdmin Template Person Import, which we will open and modify using Quick Edit.

1. From the SuperAdmin homepage, click Quick Edit.

2. Choose the Template you would like to edit in the Select template: dropdown. In this scenario, we will choose Person Import.

3. Click Load.

4. The Template is loaded into the SuperAdmin window. Locate and select the Notes tab at the bottom of the Template.

5. Within the Notes tab, review which fields are required, what format the data must be entered in for each field, and any other instructions.

6. Click the Input DATA tab and enter your data. In this scenario, we'll enter data related to our four new Person entities.

5. Review and correct any cells with invalid data, highlighted in red. In this scenario, we'll note that one of our Status cells contains an invalid value that does not exist in our GEMS database.

We'll correct the invalid data by clicking on the cell and entering a valid value, Active.

6. When all data has been added and edited, click Validate.

7. Once Validation is successful, click Save to save your data to the GEMS database.
