Export a Chart as a Booklet

When you have a main chart and several sub-charts that you wish to be included in one file, you can export them together with the Export to Booklet option.

Charts exported as Booklets use Booklet Templates, which are Microsoft Word templates with pre-configured dimensions and orientations.

Booklet Templates by default come with cover pages, tables of contents, and index fields. Booklet Templates that don’t contain those features have names that say “No Cover No TOC No Index.”

If the Booklet Template you use contains an index, that index can be organized by either your entities’ names, DBAs, or jurisdiction.

1. Navigate to your chart or sub-chart. From the left toolbar, click Export and select Export to Booklet.

2. The Export to Booklet window will appear. Click on the Select Booklet Template dropdown arrow and select a template. In our example, we'll select GEMS Chart Template Letter Landscape.

3. If you selected a Booklet Template that contains an index, click on the Index Options drop-down arrow and select the value the index will be sorted by. In our example, we will select Business Entity.

4. If desired, tick the checkboxes next to any charts or sub-charts you wish to remove from the final Booklet.

5. Click EXPORT to download your Booklet. Booklets may take several minutes to generate.

Finalize Booklets with tables of contents and indexes in Microsoft Word

If the Booklet you created contains a table of contents and index, you’ll need to take steps within Microsoft Word to finalize the Booklet.

Populate tables of contents and indexes

Initially, the table of contents and index will be empty, so you need to tell Word to fill them in.

1. After your Booklet downloads, locate the downloaded file on your computer and open it in Microsoft Word.

2. If prompted, click Enable Editing.

3. Locate the table of contents, most likely on page 2.

4. Click anywhere on the table of contents, then click the Update Table... button that appears in the top left corner.

5. An Update Table of Contents dialog box will appear. Select Update entire table, then click OK.

Your table of contents is now populated with links to your various charts.

6. Locate your index on the final page.

7. Right click on No index entries found and select Update Field.

Your index is now populated with page references to your entities.

Make hidden text invisible

If your Booklet contains an index, you’ll see long strings of bracketed text appear above the charts. These strings are what Word calls hidden text, and they should not be deleted but instead made invisible.

1. Click File in the top right corner of Word.

2. Locate and select Options at the bottom of the menu.

3. In the Word Options window, locate and click Display on the left side.

4. Untick the Hidden text checkbox, then click OK.
