Introduction

This document contains a list of the new features and modifications included in this update to GEMS. Features are grouped according to the jurisdiction they apply to.

Please note that references to the GEMS Help Center may be made throughout these notes. You can access the GEMS Help Center via the Information Center icon from the GEMS 12.2 Home Hub.

New: GEMS AI Assistant icon

A new GEMS AI Assistant icon gives you quick access to powerful AI tools when you navigate to a Screen compatible with GEMS AI. Currently available on document-related pages within GEMS; see GEMS AI Assistant document analysis below for details on current features.

New: GEMS AI Assistant document analysis

Gain a better understanding of the documents within GEMS using the power of AI! When you locate documents, the GEMS AI Assistant provides the following services:

Summarize: Easily summarize documents to the most important information, saving you valuable time.
Translate: Translate documents from over 20 languages into your preferred language with the click of a button, making it easier to understand key information without relying on local teams.
Compare: Identify the differences between two documents, ensuring you can easily spot any changes or discrepancies.

New: GEMS AI Autofill

GEMS AI now supports autofill—automatically extracting and inputting data from source documents into GEMS Screens.

New: Compliance Calendar View Activities and To-Do Items

Easily visualize tasks and deadlines and avoid missing deadlines using the new Calendar view of Compliance Tracker Activities and To-Do Items.

When the Compliance Tracker VIEW value is set to Active, this filter will use the Activities’ Due Date values.

When the Compliance Tracker VIEW value is set to Closed, this filter will use the Activities’ Date Closed values.

Update: “Current” options within Searches

Quickly find the data you need using new Is Current fields for date-driven Screens within your Searches. These new fields automatically add the criteria to return current records from those Screens.

Update: Upcoming upgrade dates now on GEMS Information Center

Stay informed regarding planned downtime and update windows for GEMS with the new GEMS Upgrades section of the Information Center.

Update: Entity name included by default in Excel downloads

When downloading an Excel file of a Tiered Report, Comparison Report, or Companies House Comparison, the entity name will be present in the default file name.

Update: Tab in Order Summary - Orders to be Billed

Better track your Orders with the new Orders to be Billed tab in the Managed Services Order Summary page, which shows Orders where work was complete but not billed. The Closed tab now only contains Orders that require no further actions.

Update: Documents added to Orders now appear in related Activities

If you have an open Order that also generated a related Activity, any documents you upload to the Order now are automatically attached to the Activity as well, saving you from having to attach a document in two separate places.

New: Companies House Comparison

Easily compare your GEMS data to what Companies House has on file with the new Companies House Comparison Report! GEMS and Companies House details are downloaded, matched, displayed side-by-side, and highlighted if data is not the same.

New: Audit Trail records after Companies House data downloaded for comparison report

If a download of data is successfully received from Companies House, an Audit Trail entry will be created. Details of the Audit Trail record are:

Date - The date the data was received by GEMS
Time - The time it was received by GEMS
Entity - The Entity Name which the Download is being requested for
User - The user who requested the COMPARE.
