Autofill data on Screens with GEMS AI

Use GEMS AI to quickly fill in forms using information copied from internal or external documents and pasted from the clipboard.

Introduction

Edit Users can save time by leveraging the GEMS AI Autofill feature to automatically extract and input data from source documents into entity Screens and the Quick Add process.

Please note: Autofilled data entered by GEMS AI may not be 100% accurate. Always verify the contents of GEMS AI autofilled data yourself or with another person.

Autofill an entity's Screen using GEMS AI Autofill

When you are updating an entity's Screen in GEMS, GEMS AI Autofill can read data you have copied from an outside source and fill in the Screen's fields for you.

In this scenario, John Rayston has recently been appointed as a Director for the company Okutama Recreation Services. On our computer, we have a copy of the meeting minutes which recorded the details of John Rayson's appointment. We will next use GEMS AI Autofill to parse those minutes and fill in the necessary GEMS fields with the appropriate information.

1. Navigate to the GEMS entity Screen and record you wish to update. In this scenario, we'll navigate to the Appointments Screen for Okutama Recreation Services and begin to create a new appointment record.

2. Locate and click the GEMS AI icon to open the GEMS AI Assistant.

3. Click Autofill from Clipboard within the GEMS AI Assistant.

4. Open your source document on your computer. In this scenario, we'll open the meeting minutes document recording the details of John Rayson's appointment.

5. Select the text from your source document with the information your Screen requires then copy it to your computer's clipboard. In this scenario, we will select and copy the text from the minutes document we opened in step 4.

6. Return to GEMS and click the Paste from Clipboard button to paste the text you copied in step 5 into the text box.

7. Click the AUTOFILL button.

GEMS AI Autofill will parse the content of the pasted text and either fill in the relevant fields or suggest values for those fields.

Each suggested value will appear underneath the relevant fields with a confidence bar. A green bar indicates GEMS AI is most confident in the suggestion, while a yellow bar indicates less confidence, and a red bar signals low confidence.

If GEMS AI found multiple possible options for a field, it will list them underneath the field, and you must click one of the options to enter it into the field.

When a suggested value is not found in the relevant field's Lookup List, GEMS AI will display a ! icon next to it. These suggestions cannot be clicked and instead need to be entered manually.

Tip: When parsing data containing field names and labels, GEMS AI Autofill's suggestions will be more accurate if your data's field names match GEMS's own. For example, if your data contains a field called Entity Name, consider changing it to Legal Name to match GEMS.
