Session Objectives

The purpose of this session is to guide you through the process of adding users and assigning them access to specific records within GEMS.


By the end of this session, you will be able to...

  • Create new users with the proper settings

  • Manage users’ access to data using User Roles


Task 1: Create a new user

Add a new user with the following properties:

  • Username: [YourName] Training User

  • User Type: Edit User

  • Email: [YourName]@computershare.net

Which areas did you not know how to fill in? Make note of them.


Task 2: Create new User Role

Add a new User Role with the following properties:

  • Description: [YourName] Training Role

  • Members: The new [YourName] Training User AND…you!

Why should you add your account to this User Role?


Task 3: Limit access to a field

Add a new Access Level to [YourName] Training Role with the following characteristic:

  • Give Browse access to the EIN field on the Basics Screen.

  • Test it! Did it work?

How did you know which EIN field to add?


Task 4: Limit access to range of entities

Add the below Access Levels to [YourName] Training Role:

  • Give members full access to United States entities, but no access to all other entities

  • Test it!

Can you think of another way to accomplish the same goal as above? How else could you do it?
