GEMS data fields linked to Lookup Lists sometimes offer drop-down menus with selectable Lookup Items called Favorites. This can eliminate the need to open the full Lookup List.

Many Favorites are available by default in GEMS. You can also set your own Favorites, speeding up your workflows in GEMS.

You can add Lookup Items to your Favorites any time you are within a Lookup List.

In this scenario, we are entering the Lookup Item Finance/Investment in the Category field for PrimeTeck Systems. We would like to add that Item to our Favorites so that we don’t have to open the full Lookup List every time we need Finance/Investment going forward.

1. Navigate to the field connected to the relevant Lookup List and click the Lookup List icon. In this scenario, we will open the Lookup List for the Category field for PrimeTeck Systems.

2. The Lookup List will appear. Enter the name of the Lookup Item needed in the Search For field, then click Search. In this scenario, we’ll enter finance/investment.

3. Locate the Lookup Item you wish to add as a Favorite and tick the checkbox to its left. In this scenario, we will tick the Finance/Investment item.

4. Locate the Add/Remove Favorites drop-down menu and click the Go button.

5. The item will now be displayed in the Lookup List as a Favorite. Click the Lookup Item to select it. Again, in this scenario, we’ll click Finance/Investment.

6. The Lookup List will close and the Item you selected will be entered in the field you came from. The drop-down list for the field will now include the new Item you set as a Favorite.

You may wish to remove a Lookup Item from your Favorites if its use becomes less frequent.

In this scenario, we realize that we do not use the United States as a Jurisdiction as often as we do individual states. Therefore, we would like to remove this Lookup Item from our Favorites list for Jurisdictions.

1. Navigate to the field connected to the relevant Lookup List and click the Lookup List icon. In this scenario, we’ll open the Jurisdiction Lookup List.

2. Locate the Add/Remove Favorites drop-down menu and click Go.

3. GEMS will display your Favorite Lookup Items within the Lookup List window. Tick the checkbox to the left of the Favorite you’d like to remove. In this scenario, we’ll tick the checkbox next to United States.

4. Click Go again to remove the checked Item from your Favorites.

5. GEMS will refresh your list and the item will no longer appear in your Favorites.
