Introduction
In addition to helping you fill in Screens, the GEMS AI Autofill feature can expedite your entity creation workflow in GEMS. GEMS AI Autofill can automatically extract and input data from source documents during the Quick Add process, saving you significant time as you add new entities.
Please note: Autofilled data entered by GEMS AI may not be 100% accurate. Always verify the contents of GEMS AI autofilled data yourself or with another person.
Expedite Quick Add entity creation with GEMS AI Autofill
When adding a new entity record, AI Autofill can select the relevant Screens to be completed and then automatically fill in data on those Screens.
In this scenario, we need to add a new Business Entity in Delaware called JS Software Inc. We have formation and address data for JS Software Inc. in a spreadsheet on our computer, and we'd like GEMS AI to read that data and automatically enter the appropriate data when we go to add the entity to GEMS.
1. Locate and click QUICK ADD in the top right corner of GEMS, then select Entity.
2. Enter the appropriate values in the mandatory fields. In this scenario, we'll select Business Entity and enter Delaware in the Jurisdiction field.
3. Click the GEMS AI icon to open the GEMS AI Assistant.
4. Select Autofill Entity.
5. Open the local file containing your data on your computer. In this scenario, we'll open a spreadsheet containing basic formation and address data for our various companies.
6. Find the relevant data within your local file and copy it to your computer's clipboard. In this scenario, we'll locate the data for JS Software Inc. within a spreadsheet, highlight it, and copy it to our computer's clipboard.
7. Return to GEMS and click the Paste from Clipboard button to paste the text you copied in step 6 into the text box.
8. Click AUTOFILL.
9. GEMS will open the Screen selection page and automatically select Screens to add data for based on the text given to GEMS AI Autofill. Review and adjust the selections as necessary, then click NEXT.
In this scenario, the Addresses Screen has been selected in addition to the Basics Screen, since GEMS AI Autofill recognized that the text we gave it contained an address and basic information.
10. Proceed through the selected Screens. As you do so, GEMS AI Autofill will indicate which fields it has filled in. Review those fields and add data to others you need.
In this scenario, GEMS AI Autofill has filled in the Legal Name field on the Basics Screen with JS Software Inc., in addition to other fields on the Basics and Addresses Screens.
When copying data to your clipboard containing field names and labels, AI Autofill's suggestions will be more accurate if your field names match GEMS's own. For example, if your data contains a field called Entity Name, consider changing it to Legal Name to match GEMS.
