Add Person Entity Records

Person entities in GEMS are records of individual people. You add them to GEMS so that they can later be attached to appointment and contact records for Business Entities (Companies).

Add a Person entity record

Person entities are added to GEMS via the QUICK ADD button located in the top right of the page.

In this scenario, a person named Rebecca Smith recently became an appointee for several of our Business Entities. Before updating those Business Entities' appointment records, however, we need to add Rebecca Smith as a Person entity to GEMS.

1. Click the QUICK ADD button at the top of the Home Hub and select Entity.

2. Tick the circle next to the type of entity you need to add. In this example, we will select Person.

3. Select a value for the optional Category field if desired. In this scenario, we don't use the Category field for our Person entities, so we'll leave it empty.

4. Click NEXT.

A checklist showing all available Screens for a new Person entity appears. Any Screens selected here will need data added to them before the entity creation process is over.

5. Locate and click Deselect All to uncheck all Screens except the Basics Screen.

6. Tick the checkboxes for any additional Screens you wish to add data to during the entity creation process. In this scenario, we only want to add data to the mandatory Basics Screen, so we will not select any additional Screens.

7. Click NEXT to proceed to the Basics Screen for the new Person entity.

8. Complete the mandatory fields on the Basics Screen as well as any additional fields you wish to track. In this scenario, we'll enter Smith in the mandatory Last Name field, Rebecca in the optional First Name field, and Active in the mandatory Status field.

9. Click GO TO SNAPSHOT to finish creating your Person entity.

If you selected additional Screens in step 6, the GO TO SNAPSHOT button will be a NEXT button instead. Click NEXT to proceed to the next Screen and enter the relevant data there.
