Introduction
This document contains a list of the new features and modifications included in this update to GEMS. Features are grouped according to the jurisdiction they apply to.
Please note that references to the GEMS Help Center may be made throughout these notes. You can access the GEMS Help Center via the Information Center icon from the GEMS 12.4 Home Hub.

Update: GEMS performance improvements
GEMS now delivers faster, smoother performance through improved user activity handling, upgraded database technology, and streamlined search and loading processes. These enhancements reduce wait times, increase stability, and provide significantly faster Snapshot and panel load times.
New: Analyze data rapidly with GEMS AI Insights Agents
Users can now create their own GEMS AI Insights Agents or access Computershare‑created ones directly in GEMS 12.4. Insights Agents are intelligent assistants built into GEMS that analyze entity data, identify risks or inconsistencies, and deliver structured insights within seconds. Whether using a pre‑configured agent or creating one tailored to your own processes, Insights Agents let you automate repeatable tasks, save reusable instructions, and share powerful analyses across your user community.
Once launched from the GEMS AI Assistant icon, users will be able to create their own Insights Agents or access and edit Computershare created Insights Agents.
Update: GEMS AI Icon enhancements
The GEMS AI icon has been redesigned to more clearly showcase when AI capabilities are available, giving users a smoother and more intuitive experience. The refreshed icon features an updated look, improved animation behavior, and smarter placement within the interface.
The updated design features improved animation that appears only when helpful AI actions are available, such as Document Analysis, Autofill, or Snapshot and Search Result analysis.
The default icon position has also been adjusted to avoid overlapping with key buttons, and users can now freely reposition the icon. Once moved, GEMS remembers the placement across sessions, offering a more personalized and consistent experience.
New: SuperAdmin directly accessible from GEMS
SuperAdmin access is now fully embedded within the main GEMS application, eliminating the need for separate links, extra logins, or additional credentials. Eligible users can simply navigate to the new SuperAdmin link in the GEMS Admin module and go straight to the SuperAdmin homepage with the same sign on they already use for GEMS. This upgrade simplifies navigation and makes it easier for SuperAdmin users to manage their work.
Update: Activities and To-Dos button now available on Home Hub
The GEMS Home Hub has been refreshed with a single, easy to read Activities and To-Dos button that now uses traffic light indicators to highlight what needs your attention. At a glance, you can see how many Activities and To-Dos are overdue, coming up soon, or scheduled for later.
Selecting the button from the GEMS Home Hub takes you straight into the Compliance Tracker, where the same traffic-light indicators can now be clicked to filter your Activity Overview or To-Do List by urgency level.
Update: Charting Upgrades
Charting in GEMS has been enhanced to give you clearer, more customizable visuals. These upgrades make it faster to present complex ownership structures with confidence and clarity.
Update: Parent direction now available for Charting Tiered Reports
GEMS now allows you to build tiered reports that flow in the direction of parent entities, not just subsidiaries. This enhancement gives you greater flexibility when visualizing ownership structures, enabling you to analyze organizational hierarchies from either perspective depending on your reporting needs.
Update: Matrix layout for charts can now be automatically triggered
You can now adjust how many subsidiaries must be present to trigger the matrix layout, giving you more flexibility in managing complex visual structures.
Update: Chart matrix layouts can now feature merged lines
Matrix charts can now include merged lines, allowing you to simplify complex visual structures and create cleaner, easier to read chart layouts.
New: Environment banner for UAT environments
To give users greater confidence when working across multiple databases, GEMS now displays a banner at the top of the screen whenever you are in a UAT environment. The banner clearly identifies which environment you are using, helping prevent mix ups and supporting safer testing and review.
Update: Confidential Orders
The new Confidential Orders feature gives clients a secure and discreet way of submitting sensitive requests while keeping their work fully tracked in GEMS. When placing an order, users can simply select the Confidential Order option to ensure the request is visible only to the Computershare team, the order approver (if required), and the requestor. Any related Activities or To-Dos are also limited to the appropriate assignees, protecting sensitive information while maintaining workflow continuity.
Confidential Orders do not appear in the standard Audit Trail, and they are clearly marked with a lock icon and a red “Confidential Order” label for quick identification. If confidentiality is no longer needed, the requestor or Computershare team can easily declassify the order, restoring normal visibility and full Audit Trail entries. This feature gives clients greater control and peace of mind when handling sensitive or high privacy work.
New: OCR capability for documents when using GEMS AI features
GEMS AI now includes optical character recognition (OCR) technology for documents. This enhancement allows GEMS AI to read text inside images, scanned documents, and photos that were previously unsupported. Whenever you use GEMS AI document features such as summarization, translation, and comparison, GEMS AI automatically checks the document for images and sends the file for OCR processing when needed. This ensures that more of your documents can be fully analyzed with no extra steps required.
Update: Excel export filename simplification
Exported Excel files exported from Advanced Searches or Snapshot panels now have simplified, easy to read filenames that include only the search name and date timestamp, making it quicker to identify files.
Old file name example:
Directors in South African Energy entities_29 Sep 2025_29-B5E35CF2-7B32-4110-82EA-44D2178190BC.xlsx
New file name example:
Directors in South African Energy entities_29 Sep 2025.xlsx
Update: Multi-select now available in Jurisdiction of Responsibility Lookup List
The Jurisdiction of Responsibility field found in American Business Entities appointment records, available for Filing Appointments now lets users select more than one jurisdiction at a time, making it quicker to assign the correct coverage.
New: Export Activities and To-Do Items to other calendar applications
You can now export your Compliance Tracker Activity and To-Do Item due dates to an external calendar (such as Google Calendar and Outlook) using the iCalendar format. This new option helps you stay on top of important deadlines, even when you’re not logged into GEMS.
