Release Notes Introduction
This document outlines the new features, enhancements, and updates included in the GEMS 12.5 release. Features are grouped by functional area and apply to all jurisdictions unless otherwise stated.
References to the GEMS Help Center may appear throughout these notes. The Help Center can be accessed via the Information Center icon within GEMS.

New: Multi-factor authentication
Multi-factor authentication (MFA) has been introduced to strengthen platform security.
GEMS Administrators can enable SMS and/or email-based MFA in Admin> System Management> Password and Multi-Factor Authentication. SSO users bypass MFA automatically.
Additional safeguards include lockout protections after multiple failed attempts and a one-time emergency bypass option available to Administrators when needed.
Update: GEMS AI Support Bot stability and error handling
The GEMS AI Support Bot has been enhanced with clearer validation and error messaging. In the latest release there is better handling when requests time out, exceed rate limits, or are too large to process.
Update: Compliance Tracker enhancements
Several minor enhancements were introduced across Compliance Tracker and related features:
GEMS Administrators can now mark other users’ To-Do Items as complete.
Activities can now be exported as iCalendar files from Activity Search results.
An Add Note option has been added to each Activity’s More Options menu.
Administrators can now have email notifications for new Activities go out on a date closer to the Activity due date.
Update: GEMS AI OCR performance improvements
OCR processing used by GEMS AI has been optimized to improve speed and reduce processing costs.
Update: Charting performance and stability
Charting functionality has been improved to automatically apply formatting rules when a Saved Chart is launched; previously, this had required a manual refresh. An architectural enhancement also increases the size and complexity of charts that can be run, resulting in more reliable performance.
New: GEMS Academy courses
The following new courses and learning journeys have been launched in our GEMS Academy.
Our Level 1 eLearning courses provide all users with the fundamentals needed to navigate GEMS, browse data and make use of GEMS AI. Appropriate for Browse, Edit and Admin Users.
Our Level 2 eLearning courses enable Edit and Admin users to gain proficiency in managing the most common entity data tasks in GEMS.
In this course, Admin users can discover how to access the GEMS SuperAdmin tool and use it to handle uploading and updating large volumes of data.
Please note, the GEMS Basics Level 1 and Level 2 Learning Journeys correspond to our GEMS Basics instructor-led training sessions. If you have new GEMS users or just need training reinforcement, consider enrolling in these offerings.
New: New SuperAdmin Templates available
Three new SuperAdmin templates are now available: Non‑Affiliate Import, Company Internal Contact, and Person of Significant Control - PSC Update.
Update: Performance enhancements for SuperAdmin Quick Edit and Grid-Based Editing
The Quick Edit and Grid-Based Editing features in SuperAdmin have received performance enhancements, improving reliability and the user experience.
Update: SuperAdmin Templates
The SuperAdmin templates Company Address, Custom Fields, Appointment Update, and Business Entity Import have been updated with new fields, providing users with more options when adding or modifying data through those templates.
Update: Confidential Orders
Confidential Orders functionality has been refined to improve usability and security:
Approvers can now view and approve confidential orders directly from the summary screen.
Approval notification emails now clearly indicate when an order is confidential.
Audit trail entries for documents attached to confidential orders are hidden to maintain confidentiality.
Update: Links to Orders available on custom Snapshot panels
Custom Snapshot panels that display Orders now contain links to the relevant Order records.
Update: "Expand" option available for GEMS AI Analyze responses
GEMS AI Analyze responses can now be expanded, improving readability for users.
Update: Increased character limit for GEMS AI Insights Agent titles
The Title field for a GEMS AI Insights Agent can now be as long as 50 characters.
