Documents in GEMS can be classified via Categories and Sub-Categories within GEMS. The new document Category and Sub-Category values can be added by an Edit User through the Admin Hub.
In this scenario, Brimsdown Group uploads documents of the minutes they record at their annual general meetings. We would like to start to categorize these documents as AGM with a subcategory of Minutes, but first we need to add these values to our database.
Click the Admin Hub and select Lookup Lists > Lookup Items.
A window containing all Lookup Lists will open. From the menu on the left, locate and select Category.
The Category Search pane will display. Click New Category.
Enter a label for the new Category in the Category field. In this scenario, we’ll create a Category called AGM for Annual General Meeting.
Click the Lookup List icon next to the Sub-Categories field to create or select a sub-category that will be related to the parent Category.
The Sub-Category Search pane will open. Click on New Sub-Category.
Enter the desired name in the Sub-Category field. In this scenario, we will create a sub-category called Minutes.
Click SAVE.
The pane will close, and the new information will be visible.
