What Is the GEMS Compliance Tracker?

Introduction

The GEMS Compliance Tracker provides a centralized location to manage entity compliance-related activities. Activities can be created, assigned to specific users, then monitored and tracked to completion.

Offering a bespoke and tailored means to bring all processes relating to entity data into one place, the Compliance Tracker has been baked into the core of GEMS.

Users have the flexibility to create and design unique Activities, To-Do Items, and Workflows. Existing manual processes can therefore be migrated into GEMS, creating one source of truth and an auditable means of tracking workflows. Activities can also be created for registration, licenses, and contracts.

With configurable auto-created activities, GEMS has rethought how users track and manage their entity compliance processes. Auto-created Activities allow Administrators to standardize and manage their organization's internal workflows by automatically suggesting associated To-Do Items when specific changes to an entity's data are made.

Edit users can utilize the Quick Add feature to create bespoke Activities, ensuring transparency and accountability across even the most unique of processes. Finally, the Compliance Tracker has also rethought how Browse Users interact with GEMS. Browse Users can upload documentation to To-Do Items, facilitating the migration of existing workflows to GEMS.

Please note: The Compliance Tracker module is available on all GEMS databases and cannot be disabled. However, GEMS clients do not have to use the tool, and notifications relating to Activities can be turned off for individual user accounts; see Activity Reminders and Notifications (Admin Only) for more information on disabling notifications.

What Are Activities?

Activities provide the framework for To-Do Items within GEMS. They are configured in GEMS as Workflows that can be generated by a transaction or the addition of a new entity, or through a transaction screen, Snapshot panel, or the Quick Add button.

Once Activities and To-Do Items are assigned to users, users will receive an email alerting them. This email will provide a summary of any new To-Do Items assigned since the last email was received.

Users can then also receive email reminders for Activities and To-Do Items that are upcoming, overdue, or have had Notes recently added to them in the form of the Compliance Tracker Overview Email to ensure that they are kept up to date on any items they may need to action in GEMS.

Please note: The above emails are dynamic and will adjust to display only relevant information; e.g., if there are no Overdue To-Do Items, the “Overdue To-Do Item” section will not be displayed.
