Introduction
Activity Types form the basis by which Activities are created and organized in GEMS. Each Activity created in GEMS is based on a specific Activity Type, allowing easy searching, reporting, and standardization. In addition, if desired Activity Types can be linked to an Activity Workflow (by an Administrator) which allows for set To-Do Items, recurrence details, and specific launch points to be specified for the Activities generated of this Activity Type.
Creating Activity Types
Activity Types can be created from a variety of locations in GEMS including via the Activity Workflow Configuration Wizard or the various Activity creation locations in GEMS, e.g., via Quick Add or Lookup Lists.
All available Activity Types can be viewed via the Activity Type Lookup List found under Admin > Lookup Lists > Lookup Items.
From within the Lookup Item menu, new Activity Types may be created, and existing Activity Types reviewed, edited, and deleted.
In addition, it can be easily reviewed whether an Activity Type has been linked to an Activity Workflow.
One unique feature only configurable for Activity Types via the lookup items menu is whether an Activity Workflow is required for an Activity. If set to "Yes," the Activity Type will only be available for use once linked to an Activity Workflow, a useful feature where Admins would like to create an Activity Type in GEMS but have not yet created the related Activity Workflow and would like to prevent other users utilizing the Activity Type until configured.
Please note: Activity Types created via the Activity Workflow configuration wizard will be automatically set to “Yes” and Activity Types created via the Quick Add will be set to “No.”
Given the flexibility on offer regarding Activity Types and how they are used, the diagram below shows the workflow available when configuring Activity Types in GEMS depending on whether an Activity Workflow is desired.
