Introduction
An administrator may also limit who can see Activities and To-Do items. There are two ways that this can be done. One is a system management setting that will apply to all users or use User Role Access Levels to apply it to a group of specific users(s).
System-Wide Security Settings
The system management option has two settings, Level 1 which all users can view both Activities and To-Dos, and Level 2 which will limit individual users' access according to their user type. To see the exact matrix of when each user type will have access to seeing and manipulating Activities and To-Dos see the dedicated Matrix here: Compliance Tracker System Setting 10.5 (4).pdf
Please note: The default system setting is Level 2.
Please note: If the system setting is changed, this will be reflected immediately.
To access the new settings, click on Admin>GEMS Settings> System Management, then click on Options and General.
Then scroll down to activity and choose one of the following:
Level 1 β All Users
Level 2 β Only Owners or Assignees can make changes to an Activity. Only Assignees can make changes to a To-Do Item.
User Role Level Security Settings
If the choice is to limit access to Activities and To-Dos through User Role Access Levels, then access levels may be applied to Activities like other Screen & Screen Fields in GEMS. For more information about creating Access, Levels see the Managing Security (User Roles, User, and Access Levels) Tutorial on the Community Support Site.
Administrators may also disable the Activity Hub for specific User Roles using the Item Type β Hub and selecting the Compliance Tracker.
