Introduction to the GEMS Search Hub

Introduction

The GEMS Search Hub allows users to:

  • search for data that isn't returned by the Home Hub tiles, such as a search for a particular name across all areas of the database;

  • search for data that can then be exported;

  • customize all search parameters, including

Basic Name Search

The Name Search allows you to enter a name or part of a name, and then search for every occurrence of that search term across all name type fields in GEMS.

It searches across the following fields:

• Business Entity Legal Name

• Business Entity Short Name

• Business Entity Other Name

• Business Entity Past Name

• Business Entity Doing Business As (DBA)/ Trade Names

• Business Entity Foreign Registrations/ Qualification – Assumed Name

• Person Name (First Name, Second Name, Third Name, Fourth Name, Last Name,

Other Name)

• Person Past Name

• Non-Affiliate Name

• Non-Affiliate Past Name

• Non-Affiliate Other Name

• User Name – First Name, Last Name

To begin a Name search, proceed as follows:

Click the Search button to display the Search bar. Button with Magnifier Glass

Click the ‘Choose Search Type’ drop-down list to display the available search items.

Choose the ‘Name’ item from the list.

On the resulting search panel, enter the name to search on, for example ‘CGS’ and then click the Search button.

The search results are opened in a new homepage tab called Name Search, which displays the screens and fields containing the searched name.

The search results panel displays the value containing the search term, the Screen Name that contains the term, the Field.

Click on any of the Screen Name hyperlinks (e.g. Trade Name) to open that screen in a window, and view the field that contains the search term.

Click on any of the Related Entity links to open that entity in a new homepage tab.

Again the Screen Name, Field Name, and Related Entities are displayed, allowing you to click on the Screen Name to open in a modal window and Related Entity link to open in a new tab.

Searching Using the Advanced Search Fields.

You can use the Search Bar to do a quick search using only one search criteria or you can click through to the Advanced Search screen to create a complex search. This tutorial explains how to use the search bar to perform quick and advanced searches.

Advanced Search Overview

The Advanced Search enables you to search across multiple screens and fields, as well as the snapshot and homepage panels. It allows you to construct a search based on the level of detail required in the search results, and then to refine and specify the search items if necessary.

The GEMS Search offers a wide range of functionality including:

  • Search Panels - The Advanced Search and Search Results are displayed as two horizontal panels, which are opened in the current screen (rather than in a separate modal window):

  • Advanced Search – collapsed by default

  • Search Results – open by default

  • Saving Search - When saving the search, a memo field is available where you can capture more descriptive information about your search. This will help to avoid the creation of many duplicate searches by allowing you to give precise information about why the search was created.

  • Predictive Text & View All Screens - To facilitate the choice of screen when setting up an Advanced Search, the system offers a predictive lookup of screens, fields and saved search. The ‘View All’ option displays all the screens relating to a business entity. They appear alphabetically with approximately 150 screens available in total.

  • Alphabetical fields - Screens and Fields appear alphabetically in search lists. This now returns all fields on the screen including custom fields, which are included in the screen they were created in.

  • Custom fields - Custom fields are included in the search engine even if they do not have any values added to them. This allows you to setup searches that include custom fields in advance of values being added to them.

  • Searches Open in a New Tab - A checkbox has been added to the Advanced Search that allows you to open the search results in a new homepage tab. This lets you adjust a search, run it in a separate tab and compare the result to previous, eliminating the need to save a search before comparing. Additionally, you may now have multiple Search result tabs open at once, allowing comparison between them.

Setting a Default Search Type in the Search Hub

By default, when you open the search bar in GEMS, it contains one dropdown list from which you can choose the search category. Depending on the category you select, the remaining search options are displayed.

You can use user preferences to pre-select the options displayed in the search bar. To specify which search items are displayed by default in the main search bar, do the following:

  • Click on your user name in the top right-hand corner of the GEMS interface and click on the Details option in the User Menu.

  • On the User Details screen, use the menu on the left-hand side of the screen to navigate to User Preferences > General.

  • Click the Edit button.

  • From the ‘Default Search Type’ drop-down list in the ‘Main Search Bar’ section, select the search type you want to see by default in the first drop-down list on the search bar.

  • When you have selected the search type, a new user preference is displayed called ‘Default Search Category’. From this drop-down, you can select the search category you want to see by default in the second drop-down list on the search bar.

Please Note: This is optional and you do not need to select a value for the ‘Default Search Type’ user preference to take effect.

  • When you have selected the search category, a new user preference is displayed called the ‘Default Search Field’. From this drop-downn, you can select the search field you want to see by default in the third drop-down list on the search bar.

  • Click the Save button. The selected option will be displayed by default in the main search bar when you next log in.

How the Default Search Option Works

Once you have selected default search options, the default search will be displayed whenever you log into GEMS and whenever you select the default search type in the search bar.

For example, your user preferences are set to the following:

During the session, if you decide you need to perform a different search, you can select the required options from the search bar. Your search bar might then look like this:

Changing jurisdiction will not affect the search in the search bar. Whatever search is present in the search bar will remain in place if the jurisdiction is changed.

How Permanence of Search Text Works

During a user session, the search text that you enter in the search remains there unless you change the default search category.

For example, when you log in, your search bar may look like this:

If you then choose a different option from the first drop down box, the search text is removed from the search bar and the search bar will look like this:

PLEASE NOTE: If you change the jurisdiction, there will be no change in the search bar - the search text will remain.
