Introduction
A user should be disabled when they leave the company or no longer require access to GEMS. Once a user account is disabled, that particular GEMS user cannot log in to GEMS.
Users who no longer require GEMS access should be disabled rather than deleted, as deleting a user account erases all history of that account within the GEMS Audit Trail.
Disable a User
In this scenario, one of our users named Brian Smith, whose username is simply Brian, has left our organization. We now need to disable Brian's account so that he cannot continue to login.
1. From the Hub Toolbar, navigate to Admin> GEMS Administration> User Management.
2. The User Search page will be displayed. Locate and click the user's username. In this scenario, we'll click Brian.
3. The user's Basics page opens. Click EDIT.
4. Tick the Account Disabled checkbox.
5. The following popup will appear to confirm disabling the user. Click OK.
6. Click SAVE at the bottom of the Basics page.
