When exporting a chart as a booklet (see How to Export a Chart and Its Sub-Charts as a Booklet), users select a Booklet Template to use prior to exporting. GEMS ships with four default templates, but these templates can be modified and customized to suit a user's needs by following the steps below:
From the Home Hub, click Search.
Change the value in the "Search GEMS for" field to "Document."
Change the value in the "Screen Field" field to "Document Type."
Leaving the "Condition" field as "Contains," enter "charting booklet template" in the "Value" field, then click Search.
Click the Description of a Booklet Template that will require the fewest modifications (e.g., if the final template will have a Table of Contents, select a Booklet Template that also has a Table of Contents).
After clicking the appropriate Description, GEMS will download the file to the user's device. Open the file with Microsoft Word.
Within Microsoft Word, note the text closed enclosed in square brackets, e.g., "[CHARTPLACEHOLDER]." These represent fields that will be replaced with particular data from GEMS when the export process occurs. These fields are:
[CHARTNAME] - The name of the chart if it is a Saved Chart, or the name of the Business Entity/Company on which the chart is based if it is not a Saved Chart;
[DATEASAT] - the date that the chart data reflects;
[CHARTPLACEHOLDER] - where the chart will be placed;
[CURRENTDATE] - the date at which the booklet was generated.
These fields can be moved as needed, and their formatting can also be changed as needed (e.g., their font size and type). In the case of [CHARTNAME], [DATEASAT], and [CURRENTDATE], they can also be deleted should the user not wish GEMS Charting to include those fields.
Content within the headers and footers can be modified at this point, and page settings such as margins can also be changed.
Saved the modified file with a new name, then return to GEMS and click the Documents Hub.
Click Add Documents.
Click Select Files and select the modified Template file, or drag and drop the file into the designated field.
After the file is uploaded, enter a description of the Template in the “Description” field, and enter “Charting Booklet Template” in the “Document Type” field.
The new Booklet Template is now ready for use. See How to Export a Chart and Its Sub-Charts as a Booklet for instructions on how to use it when exporting a chart.
Please note: As soon as one modified Booklet Template has been added, the default Booklet Templates will no longer display as options when exporting a chart as a booklet, although they are still stored in GEMS. To restore the default Booklet Templates as options, all modified Booklet Template Documents must be deleted from GEMS.
