Introduction
To access GEMS, your organization's GEMS administrator will provide you with a URL or instructions on how to log in using single sign-on. Each user must have a username and password to log in unless the database is using Single Sign-On.
Log In via the GEMS Login Screen
If logging in via a URL provided to you by your GEMS Administrator, the first GEMS page you see is the GEMS Login Screen.
If not logging in with single sign-on...
1. Fill in the first three fields on the page:
Client ID - The name used for your organization on the website. This is given to you by your organization's GEMS Administrator and is not case-sensitive.
Username - The Username is given to you by your GEMS administrator. This field is not case-sensitive.
Password - The password field is case-sensitive. If you've forgotten your password, see Resetting Your Password.
4. Click Login.
If logging in with single sign-on...
1. Locate the second Client ID field and enter the value provided by your GEMS Administrator.
2. Click Company Single Sign-On.
Reset Your Password
If you forget your GEMS password, you may reset it yourself from the Login Screen.
1. Click on the Forgotten Your Password link. The GEMS Self-Service Password Reset Screen is displayed.
2. Enter your Client ID, Username, and email address in the fields provided and click the Submit Request button. A temporary password will be emailed to you.
3. Return to the GEMS Login Screen and log in to GEMS using your username and the temporary password emailed to you.
4. Upon correctly entering the temporary password, GEMS will prompt you to set a permanent password. Re-enter the temporary password in the Existing Password field, then enter your desired password in the New Password and Confirm New Password fields.
Log In with Single Sign-On Functionality
Clients of GEMS can benefit from single sign-on (SSO) functionality. From a user perspective, this means that logging into the company network automatically logs you into GEMS. There is no need to remember additional login details.
GEMS can be integrated with the client’s existing repository of user details which are used as authentication for gaining access to the GEMS application. Rather than maintaining user authentication details in GEMS, each GEMS user is linked to an external user and it is this external user that GEMS authenticates against.
If you are a standard GEMS Edit User or Browse User, your GEMS Administrator will provide you with information on how to access GEMS via SSO if your database uses it. If you are a GEMS Administrator and would like to set up SSO for your GEMS database, please email CES's Support Team at [email protected].
Log Out of GEMS
Once you have logged into GEMS, you will remain logged in until you log out using the Logout link in the User Menu that you access by clicking on your profile icon.
However, if you do not use GEMS actively for a period of time the system will display a session expiration warning message. If you do not extend the active session, GEMS will log you out five minutes after it displays the warning message.
If you choose to extend the session, you will remain logged in unless your session becomes inactive once again, at which point the expiration warning will be displayed again.
Session expiration is an optional feature. A GEMS Administrator can enable or disable the session timeout option under Admin> GEMS Settings> System Management> Options> General> Session Timeout Expiry Prompt. The amount of time between the warning and a forced logout, however, is defined when your GEMS database is created.
