Restricting Access to Custom Screen Panels

Updated over a year ago

Custom screens often contain data that should be available to a limited set of GEMS users. Therefore it is possible to restrict access to custom screen panels on snapshots both from a snapshot management and a data browsing point of view.

Restricting access to the Custom Screens snapshot panel

To prevent users from adding the Custom Screens snapshot panel to snapshots, Admin users can add the following access level to the appropriate user role(s).

If this access level is set to ‘None’ for a user role, users belonging to that role:

  • Cannot add a Custom Screens snapshot panel to the snapshot while creating or editing it

  • Cannot view Custom Screen snapshot panels on the snapshot when viewing the snapshot

  • Can edit existing Custom Screen snapshot panels (which may be viewable by users in other user roles)

If the access level is set to ‘Browse’ for a user role, users belonging to that role:

  • Can add a Custom Screens snapshot panel to the snapshot while creating or editing it

  • Can edit existing Custom Screen snapshot panels

  • Can view Custom Screen snapshot panels on the snapshot when viewing the snapshot

  • Cannot add/ edit custom screen data records using the snapshot panels

Restricting access to specific custom screens from the Custom Screens snapshot panel

To prevent users from accessing specific custom screens using the Custom Screens snapshot panel. Admin users can hide the custom screen from the user role(s) using one of the following methods:

  • Setting the specific custom screen access level to ‘None’

  • Setting the specific custom screen navigation menu item to ‘None’ in the required jurisdiction(s)

In this case, affected users will not be able to see the custom screen panel for that custom screen when they view the company snapshot. If any data from that custom screen is included in a ‘Snapshot Panel’ type panel (i.e. not using a ‘Custom Screens’ type snapshot panel) then the panel will be visible but the data will be hidden.
