Configuring an Approvals Workflow for Specific New Business Entities (Admin Only)

In cases where it is necessary to set up workflows for specific types of new business entities, the Approval Workflow allows for specific groupings of new entities.

For Example:

  1. All-New UK entities will go to Approver X, while all Delaware entities to Approver Y.

  2. All Private companies go to Approver X, all Public companies to Approver Y, and all Limited Liability Partnerships to Approver Z.

To begin workflow set up, select “New Business Entities”, and ensure this workflow is set to apply approvals to “Specific” new business entities.

If specific new entities are selected these entities can then be specified using “Jurisdiction”, “Entity Type” and “Category.”

Please Note: Selecting “View All” will allow the use of a Jurisdiction saved search to group entities.

Once these parameters have been set, select whether all or specific submitters should undergo approvals when entering these new business entities.

If only specific submitters are to undergo the approvals process, they can be specific individual users.

Once submitters have been specified select “Next” to proceed through the wizard and specify who will act as approver(s).

When a Workflow is designed to be run for new entities being entered into GEMS, no internal contact types will be assigned to this yet; individual or multiple users will need to be initially selected as Approvers, and once approved, Internal Contacts may be updated, provided they haven’t been already entered in the Internal Contacts screen of the new entity record.

Multiple Approvers may be specified, in addition by selecting “Add New Approval Level”, multiple approvers per level specified – the Add New Approval level means the 1st level approver or approvers must approve the entity before the 2nd level approver or approvers are engaged in the approval.

The final step before activating the workflow is to set supporting documentation as mandatory or not; if mandatory, the Submitter must attach a document to the New entity request (Articles of Incorporation / Certificate of Formation, etc.).

Please note: Even if supporting documentation is not set as a requirement, Submitters will still be presented with the option to attach these if they wish.
