Approving/Rejecting a Legal Entity That Is "Ready for Verification"

Introduction

Depending on which interface they are using, a verifier can open the Verification Snapshot of an entity that has been marked "Ready for Verification" from either the Home Hub or My Verifications tab on the Companies or My Verifications panels. After opening the Snapshot, the verifier can then verify or reject the company.

Click on the Awaiting Verification tile. This tile contains the number of legal entities awaiting verification.

A list of the legal entities whose data changes need to be verified is displayed.

Please note: Entities that are ready for verification will have a grey square and a Verification Status of “Ready for Verification. Orange-colored “Outstanding” entities must still be marked ready.

Click on a company name to open the Snapshot of the legal entity.

If you consider the data held for the legal entity to be correct, click the Verify button.

Opening the Entity’s Record Using the Homepage Tab

Once one of your legal entities has been marked “Ready for Verification,” navigate to the My Verifications tab on the Companies or My Verifications panel.

Click the entity’s name to open the Snapshot of the legal entity to review the data held in the record of the entity.

Verifying or Rejecting the Entity from Its Record

If you consider the data held for the legal entity to be correct, click the Verify button.

Depending on your system settings, a message may be displayed to you, and you may be able to enter a comment (see Permitting Verifiers to Provide Comments on Verification (Admin Only)). This reason will form part of the next email notification that the system will send to the legal entity’s designated Updater to inform them that the entity has been verified. Entering a comment is optional.

Click Verify to verify the entity.

Alternatively, if you do NOT consider the data held for the legal entity to be correct, click the Reject button.

At this point, you must state the “Reason for Rejection.” This is a mandatory field. The reason will form part of the subsequent email notification that the system will send to the legal entity’s designated Updater to inform them that the entity has not been verified.

Click Reject to reject the entity.

If you are authorized to perform a verification action (Mark Ready for Verification/Verify/Reject) for one or more other entities within the verification phase, you can use the Next and Previous icons to navigate to it manually. Hovering over the icons will show you the name of the entity that you will move to. These entities are presented in alphabetical order.

If you are not authorized to perform a verification action on any other entity in the verification phase, the buttons will be inactive.

Please note: If the Administrator user has enabled auto-navigation to the next verification entity, the next entity you are authorized to verify is displayed automatically and you will not need to use the Next and Previous buttons (see Enabling Auto-Navigation to Next Verification Entity (Admin Only) for information on enabling this feature).

Please note: When an entity is marked “Verified,” a PDF of the Verification Snapshot is generated and saved to the associated Documents of an entity at the time it is verified. This Document is saved with a Document Type of “Information Sheet.”
