Release Notes 11.3

Introduction

This document contains a list of the new features and modifications included in this update to GEMS. Features are grouped according to the jurisdiction they apply to.

UI

New: Activities and To-Do Items tiles added to Home Hub

To better keep GEMS users informed of upcoming Activities and To-Do Items, two new tiles have been added to the Home Hub: the Activities tile and the To-Do Items tile.

Each tile displays a count of upcoming Activities and To-Do Items that involve the user who is logged in to GEMS. Clicking the Activities tile opens a list of those Activities.

Clicking the To-Do Items tile shows a list of both Activities and their To-Do Items and related columns.

Compliance Tracker

New: Closed Activities able to be re-opened

To further empower users to make any changes needed to Activities, closed Activities can now be re-opened.

Update: Administrators can change Activity Creation Options on reserved Activity Workflows

To better tailor existing Activity Workflows to their needs, Administrators can now change the Activity Creation Options on reserved Activity Workflows (i.e., those Activity Workflows that ship with GEMS and that have restrictions on what can be modified).

Please note: If the reserved Activity Workflow contains Screen Profiles, at least one of option 2, 3, or 4 under Activity Creation Options must remain enabled.

Update: Default Activity Titles for Activities related to Registrations and Licenses

When creating a new Activity with an Activity Type that uses an Activity Workflow related to Registrations and Licenses, the “Activity Title” field automatically populates with a title containing the Entity’s name in addition to the Activity Type in order to reduce future confusion when managing the many Activities in a database.

Update: Activity Details can be edited for closed Activities

To allow users to ensure historical data is accurate, the Activity Details section of closed Activities can now be edited.

Please note: When editing the Activity Details of a closed Activity, the “Closed By” and “Date Closed” fields must remain populated. If they are left blank, the Activity cannot be saved.

New: GMS Notifications for Activities now separate from Client Notifications

For clients using Computershare’s Global Managed Services (GMS), GMS Activity Notifications have been separated from client-created Activity Notifications so that Administrators have the freedom to customize how their own Activity Notifications work while still retaining the Notifications required for GMS.

New: Separate Notifications now possible for Activities and To-Do Items

To give users more control over Activity-related notifications, separate Activity Notifications can be enabled for either To-Do Items only or for Activities only.

Update: Deleting an Entity sets related Activities to “Not Required”

To ensure Activities accurately reflect the state of the GEMS database, when an Entity is deleted, the Activities related to that Entity are closed and their “Status” field is set to “Not Required.” The “Closed By” field is populated with the user who deleted the Entity.

Please note: If multiple Entities are associated with the Activity and any one of those Entities still exists in the database, the Activity will remain open.

Update: Custom field values for Activities carried over on recurrence

To better ensure consistency and reduce the time spent updating recurring Activities, custom field values are now carried over to each Activity that is created as a recurrence.

Please note: Custom fields that contain Date values will not have their values carried over.

New: Assembly templates may now be linked to To-Do items

To provide a more seamless experience when running reports from To-Do items in addition to reports of type “Reporting” it is now possible to link “Assembly” reports to To-Do items in GEMS for generation.

This is done through the Activity Workflow Configuration wizard.

The search when selecting a report will now also return Assembly report types.

Charting

Update: Matrix Styles added

Users now have greater control over the layout of their charts with the introduction of Matrix Styles for charts using the Matrix layout. For more information on these Matrix Styles, please see the GEMS Charting (Preview) Tutorial on the Community Support Site.

New: Number of Decimal Places in ownership percentage figures can be adjusted

To allow for greater flexibility in how ownership percentage is displayed on charts, the number of decimal places in the ownership percentage figures throughout the chart can now be customized in the Layout panel.

New: Horizontal and vertical spacing can be modified

Users can now further customize the appearance of charts by adjusting the spacing between boxes. The horizontal spacing (i.e., the space on the left and right side of the boxes) and the vertical spacing (i.e., the space above and below each box) can both be adjusted.

New: Data can be moved from boxes to footnotes

To improve legibility of charts, data can now be moved from inside chart boxes to outside footnotes via the Formatting icon. For more information, please see the GEMS Charting tutorial on the Community Support Site.

Update: More formatting options for filtered-out boxes

Users now have more options for how filtered-out boxes appear within charts, allowing them greater control over the visual appearance of charts. Filtered-out boxes can now be collapsed entirely, grayed out with data still visible, or grayed out with only the Entity name visible. Update: Main Chart button on Sub-Chart Menu renamed to the name of the charting company

To best clarify the functionality of the options available on the Sub-Chart menu, the Main Chart button now has the name of the chart company initially selected when the chart was generated.

Update: Quick Chart button on Snapshot renamed Launch Org Plus (Legacy)

To bring clarity to the buttons present under the Snapshot’s Menu icon, the Quick Chart button has been renamed to Launch Org Plus (Legacy).

Clone Wizard

Update: Auto-incrementing custom fields now supported through the clone wizard.

To further enhance the experience when using the clone wizard, auto-incrementing numeric custom fields are now supported when using the clone wizard.

Search and Replace Wizard

Update: Option to assign outstanding Approval Requests and Approval Workflows to replacement user for “New” entity approvals.

To ensure a smooth transition of responsibilities when one user is replaced with another, an option to assign outstanding “New” Approval Requests to a replacement user has been added to the Search and Replace Wizard.

Audit Trail

Update: Differentiation action between custom fields that are added vs edited

To allow for a clearer differentiation between when custom fields are added and edited the audit trail “Action” for these records has been enhanced to now state whether an “Add” or “Edit” action has taken place.

Access Levels

Update: “Sub-Category” field for Documents can now be used to build Access Types

Administrators now have the ability to further refine which Documents they would like to add Access Levels to, as the ability to create Access Levels to Documents based on the “Sub-Category” field is now possible.

Jurisdiction: United Kingdom

Confirmation Statement

Update: Confirmation Statements can now be generated from a Company Snapshot

To allow for easier generation of Confirmation Statements by users, CS01’s can now be generated via the Company Snapshots Menu.

Update: Automatic completion of associated Activities when CS01 filings have been accepted online.

To allow for a more seamless experience, once a CS01 filing has been accepted at Companies House the related Activity in GEMS will now mark itself as completed in GEMS automatically.

B1 – Annual Return

Update: Automatic completion of associated Activities when B1 filings have been accepted online.

To allow for a more seamless experience, once a B1 filing has been accepted at the CRO the related Activity in GEMS will now mark itself as completed in GEMS automatically.
