New and updated features from the 11.4 GEMS release

Introduction

This document contains a list of the new features and modifications included in this update to GEMS. Features are grouped according to the jurisdiction they apply to.

Please note that references to the GEMS Help Center may be made throughout these notes. You can access the GEMS Help Center via the Information Center icon from the GEMS 11.4 Home Hub. Please also note that references to Tutorials and How-to Guides may be made throughout. To access these files, you must be registered and logged in to our Community Support website. Registration can be completed at cgs.force.com.

GEMS Help Center

New: GEMS Help Center now available

To enhance and streamline the process by which GEMS users can learn more about the platform and find answers to common questions, a new GEMS Help Center is now available, containing articles and videos describing the many features of GEMS.

The GEMS Help Center can be accessed directly from GEMS via the Information Center button. Users do not need a separate login to access the Help Center.

UI

Update: Updated icons across top of page

To improve readability and clarify their functions, the User Profile, Information Center, and Business Rules buttons have been visually updated.

New: Optional feedback request form

Upon logging in to GEMS 11.4 for the first time, a new optional form will appear on the righthand side of the page asking for feedback on potential upcoming features for GEMS, empowering users to let CGS know what features will be most helpful in the future. This form is optional and can be closed without providing feedback.

Charting

Update: Enhanced support for large charts and Booklet exporting

Users exporting large charts to Booklets now benefit from improved speed and performance. Furthermore, new messages have been added to warn users about actions that can pause the export process and to confirm when the Booklet has been generated.

New: Formatting Rules can now be applied to connector lines by Charting Tool Edit Users

To allow for more custom formatting options within a chart, Charting Tool Edit Users can now create customised formatting for lines by clicking on a line and then adding criteria in the same way they would have previously for boxes in a chart. This is available when in Edit Mode if the user is a Charting Tool Edit User.

Additionally, a user can create rules for lines and apply them to the whole chart by clicking the Formatting icon where they will now be given the option to add rules for lines as well as boxes.

New: Certain Box Data values can now be displayed on connector lines

When adding a Formatting Rule for a Box under the Box Data tab, Charting Tool Edit Users can now have the data fields “% Parent Interest Held,” “% Parent Voting Interest Held,” and “Membership Type” appear on the connector line rather than in the Box itself, giving users greater flexibility in determining where fields are visible on the chart.

New: Comparison Reports can now be created for charts

To allow users to see which entities have been added, removed, or had their ownership changed from one date to another within a chart, a new Comparison Report can be generated in Excel format for a particular chart. For more information, see the GEMS Charting section on the GEMS Help Center.

Update: Filter button now available on Create a Chart page

An additional Filters button has been added onto the Create a Chart page, making it easier and faster for users to add filters to a chart prior to launching the chart.

Addresses

New: “Date Created,” “Time Created,” “Created By,” “Date Last Modified,” “Time Last Modified,” and “Modified By” fields added to Addresses Screen within Advanced Searches and GEMS Reporting Module

To provide users the opportunity to analyze data relating to when an Address record was added or updated, six new fields have been added to the Addresses Screen when the Screen is used in Advanced Searching for any types of entities: “Date Created,” “Time Created,” “Created By,” “Date Last Modified,” “Time Last Modified,” and “Modified By.” These fields are also available in the GEMS Reporting module.

Activities and the Compliance Tracker

New: “Activity Creation Date” field, Activity and To-Do Items Status History Screens available within Dashboards and Reports

To provide users even greater insight into the Activities in their GEMS database, users can now report on Activity and To-Do Item completion times via several new Screens and Screen Fields available in Advanced Searches and the Reporting Module: the “Activity Creation Date” field on the Activity Screen, a new Activity Status History Screen, and a new To-Do Item Status History Screen.

GEMS SuperAdmin

New: Addresses Import, Bank Account Signatories, Bank and Bank Accounts, Committee Import, Entity Contacts Import, and Foreign Qualifications Import templates now available

To enhance the capabilities of clients making use of the GEMS SuperAdmin feature, six new templates have been made available: Address Import, Bank Account Signatories, Bank and Bank Accounts, Committee Import, Entity Contacts Import, and Foreign Qualifications Import. User Provisioning – System for Cross-Domain Identity Management (SCIM)

New: Lists of all Users and all User Roles available via SCIM

Organizations with regular changes to their GEMS user base that make use of CGS’s User Management API leveraging the SCIM protocol will now benefit from additional SCIM endpoints being made available. In addition to the ability to add, edit, retrieve, and search for GEMS users, clients will now be able to retrieve a list of all users, a subset of all users via paging,all the User Roles expressed as SCIM Group resources, and a subset of the User Roles via paging. Clients will also be able to delete a user from GEMS via the API.

This is the latest update to CGS’s suite of APIs that enable clients to integrate GEMS with other systems to leverage their trusted entity data, streamline processes and reduce effort. Corporate Transparency Act

The Corporate Transparency Act (CTA) took effect January 1, 2024, requiring certain companies to submit Beneficial Ownership Information Reports (BOIRs) to the Financial Crimes Enforcement Network (FinCEN).

New: Fields and Appointment Types for Tracking CTA-Related Information Added

To bring their data into compliance with the CTA and prepare for generating BOIRs, users can now record key BOIR-related information for FinCEN Reporting Entities.

For Business Entities/Companies, new standard CTA-related fields can be found on the Basics Screen.

Company Applicants and Beneficial Owners can alternatively be recorded as Appointments using two new Appointment Types: Company Applicant and Beneficial Owner.

Clients can use the Bulk Appointment and Bulk Resignation Wizards to manage these records in bulk.

For Person entities, a new “FinCEN ID” field can be found on the Privileged Information > Basics Screen.

For Non-Affiliates, a new “FinCEN ID” field can be found on the Basics Screen.

New: Beneficial Ownership Information Reports

Beneficial Ownership Information Reports can now be generated from GEMS. Four New Report Wizards are available from the Reporting – All Search. Each Report is associated with a specific Filing Type defined by FinCEN. Users will select the appropriate Report and will be guided through a Wizard.

Upon completion of the Wizard, the Filing Module will be launched. All data available in GEMS will be merged to the appropriate fields. Users can select Validate to check the information against the FinCEN XML Guidelines.

Please Note: At this point, GEMS does not support electronically filing to FinCEN.

New: CTA-Related Settings Available in System Management (Admin Only)

To allow for Administrators to keep Beneficial Ownership information confidential, specific Appointment Types can now have their Access Level changed, including the new Beneficial Owner and Company Applicant Appointment Types. Administrator Users can select the appropriate Appointment Types they wish to restrict and define the access the users within the User Role should have, i.e., “None,” “Browse,” “Change,” “Full Control.”
