Introduction
A Snapshot is a page that opens once an entity name has been clicked. The Snapshot can have a variety of panels that show current data relating to the entity. These panels can be customized by GEMS Administrators to suit your needs. Examples of common panels include Basics, Addresses, and Appointments.
Open a Snapshot
Snapshots are opened in new GEMS tabs when a user clicks an entity's name. Most commonly, Snapshots are opened when a user locates an entity via the Find a Business Entity/Company or Find a Person tiles on the Home Hub.
Users can also open Snapshots by clicking the name of an entity they find on another entity's Snapshot. In the screenshot below, clicking the name AM Global within CL Support's Parents Snapshot panel opens AM Global's Snapshot in a new GEMS tab.
Change the Date of a Snapshot
Snapshots only show information that is current as of the date entered in the Date As Of calendar, but this date can be changed so that the Snapshot shows data from another date.
1. Enter the date for which you'd like to see data in the Date As Of field
2. Click the Refresh
icon.
View More Information Relating to the Panels
Snapshot Panels are likely not showing all the data related to that area of an entity's record, but users can navigate to the entity Screen that the panel is drawing from to see more information.
1. Click the panel heading to open the Screen behind the panel.
2. Return to the Snapshot by clicking the Back
icon.
Screens are the fundamental units of each entity within GEMS. Each entity is divided into Screens, and it's on the Screens that GEMS stores data for the entities. The panels are merely showing highlights of your data—there's almost always more to be found in the Screens!
Refresh, Export, and Search Data within a Panel in the Snapshot
To refresh, export, or search within a panel, click the panel's Actions button and select the appropriate option.
If you click Export, then select the format for the export in the Export as: dropdown that appears on the left side of the panel, then click the Export button underneath the dropdown.
Export the Whole Snapshot as a PDF
Entire Snapshots can be exported as a single PDF file.
1. Locate the Menu button in the top right corner of the Snapshot.
2. Select either Export to PDF (Landscape) or Export to PDF (Portrait) depending on your preference. A PDF version of the Snapshot opens in GEMS.
3. Click the Save icon to download the PDF to your device.
