How to Delete a User Account (Admin Only)

Disabling or deleting a user account will free up a license. However, if the account has accessed the GEMS database, it is recommended to disable the account rather than delete it.

  • Disable a user account if the user has accessed or interacted with the GEMS database. Disabling keeps their identity and activity visible in audit trails, which is essential for compliance, troubleshooting, and historical tracking.

  • Delete a user account only if the user has never accessed the GEMS database and you’re certain their activity doesn’t need to be preserved. This is typically appropriate for test accounts, inactive user accounts with no data footprint, or accounts created in error.

To delete a User Account:

Admin> GEMs Administration> User Management

From the Search results list, select the User you wish to delete by clicking on their Username from the list.

This will open up their User Profile. Select the Delete button under their name.

This will take the administrator to a new screen that will check that this is what you intended to do. Tick the Delete User details box. Click Submit.
