Add Fields to a Chart

A guide to adding additional fields to a chart's boxes

Updated over 9 months ago

Introduction

When creating a chart, a standard set of fields will be present inside the chart's entity boxes. Additional fields, including custom fields that Administrators have added to entities, can be added to these boxes by customizing the Saved Search when creating the chart.

Please note: All GEMS users can add fields to charts, so long as those fields exist in the entities' records.

How to Add a New Field to a Chart's Boxes

What fields are present inside a chart's boxes depend on the Saved Search used on the Create a Chart page. On the Create a Chart page, fill in the "Chart Business Entity/Company" field, then click Modify Search.

On the Search Properties page that opens, add a new column by clicking any of the Add Column icons.

Please note: The order of the columns determines the order the fields will appear inside the chart boxes, e.g., the topmost column will appear first in the boxes and the bottommost column will appear last. When adding a new column, click the Add Column button that reflects the desired position of the field being added.

On the fields that appear for the new column, enter the appropriate Screen in the "Screen" field by typing in the first few letters of the Screen name and clicking the Screen that contains the desired field. Alternatively, type any letter and then click View All to see a list of Screens that can be selected.

Please note: The Screens that begin with "Groupings(Entity)" refer to the Screens found on Entity records, e.g., "Groupings(Entity) - Entity & Person Basics" refers to the Basics Screen found on entity records.

Locate and click the desired field in the "Screen Field" dropdown.

Optionally, to save the new parameters so they can be accessed as a Saved Search in the future, enter a name for the Search in the "Search Name" field, then click Save As.

Please note: To make the new Saved Search the user's default when creating charts in the future, tick the "Default" checkbox prior to clicking Save As.

Click Launch Chart to launch a chart that will contain all of the fields from the Columns section in its boxes.
