New and updated features from the GEMS 12.3 release

Introduction

This document contains a list of the new features and modifications included in this update to GEMS. Features are grouped according to the jurisdiction they apply to.

Please note that references to the GEMS Help Center may be made throughout these notes. You can access the GEMS Help Center via the Information Center icon from the GEMS 12.3 Home Hub.

Jurisdiction: All

New: GEMS AI Document Tagging

When you upload documents GEMS AI can analyze their content and recommend the most relevant categories, subcategories, and key data points—saving you time and eliminating guesswork.

Single Document Tagging: The AI assistant reviews your file and suggests tailored values for fields like description, keywords, related entities, category, and date. A color-coded confidence system makes it easy to see which suggestions you can trust at a glance.

Multiple Document Tagging: For multiple document uploads, GEMS AI spot patterns and similarities and provides field suggestions based on commonalities across documents, allowing you to then edit tags for each document individually from a convenient summary screen, which is especially useful for large or diverse document sets.

New: GEMS AI Analyze

GEMS AI Analyze helps you check your data for accuracy, spot risks, and keep your records up to date. You can quickly analyze information, find missing or duplicate details, and easily compare data across different entities. It then provides its reasoning process step-by-step in the response.

You can access AI Analyze from multiple locations, including Snapshots, Advanced Search results, and AI Entity Search results.

Update: GEMS AI document analysis

You can now use the GEMS AI Assistant to ask questions using natural conversational language about any document you select.

Update: GEMS AI Autofill available when adding an entity through Quick Add

To accelerate entity creation and form completion within GEMS, the GEMS AI Autofill feature is now available when adding an entity through the Quick Add button. GEMS AI Autofill automatically extracts and inputs data found from text you've copied from source documents, selects and populates relevant screens for review, and suggests relevant field content with a confidence meter.

New: GEMS AI Entity Search

Unlock answers and insights about entities with the GEMS AI Assistant, conveniently located at the bottom right of your GEMS workspace. Simply ask your question in natural language and the GEMS AI Assistant determines your intent, searches across your data, and shows the results in an easy-to-read format, with options to view full results and provide feedback on the response.

New: Save GEMS AI prompts

You can save your GEMS AI prompts to use again later or share with others. Saved prompts are easy to find in tabs and can be deleted or rerun as needed.

To save a prompt, click the Save icon found at the bottom of your query results. (Note: not all query results will have the Save option available)

To see and use saved prompts, click the Saved Prompts icon at the top of the GEMS AI Assistant.

Update: GEMS AI Support Bot location change

GEMS AI Support Bot is now accessed through the floating purple GEMS AI button in the bottom right corner.

Update: Advanced Search Downloaded Files Renamed

When you export Advanced Search results, the downloaded file names are now easier to identify. The downloaded file name will start with the Saved Search name and then include the date. For example, exporting search results of a saved search called Directors in South African entities results in an exported file named Directors in South African entities_29 Sep 2025.

If you export Advanced Search results without using a saved search, by default, the downloaded file name will show the type of search, the date, and code related to the database. For example, a file name could be Company_[All]_29 Sep 2025_659-CC2FDB16-2938-489F-B27C-13F831BA0C67 for a Company Search generated on September 29th, 2025.

New: Universal Filing Appointment Checkbox

When recording appointments a new checkbox called Universal Filing Appointment has been added to accompany the Filing Appointment field when it is checked.

If the appointee is not a Universal Filing Appointment, then a new Jurisdictions of Responsibility Lookup List will allow the user to choose the jurisdictions that apply to the appointee.

New: Economic Crime and Corporate Transparency Act E-filing compliance

We've made updates to support all ECCTA compliance requirements in our E-filing process. These updates will be visible to all users once Companies House has confirmed it is ready to receive data in this new format.

Under the ECCTA, all company directors and People with Significant Control (PSCs) must verify their identity with Companies House. This is part of a broader effort to improve transparency and prevent fraudulent appointments.

GEMS now supports these requirements through updates to the IN01, Confirmation Statement (CS01), AP01, and PSC filings (PSC01/LLPSC01, PSC02/LLPSC02, PSC04/LLPSC04, PSC05/LLPSC05, PSC07/LLPSC07, PSC08/LLPSC08, and PSC09/LLPSC09) allowing users to include the Companies House identity number (also known as the personal code). This identity number can already be stored in GEMS and updated in bulk via SuperAdmin.
